The Executive Assistant is essential in providing administrative and executive support to the American Alpine Club Executive Director (AAC). This position requires a highly organized, proactive, and detail-oriented individual who can effectively manage various tasks and projects. The Executive Assistant will also support the AAC's Board of Directors and contribute to the organization's overall success.
Priority will be given to applications received before Friday, October 6, 2023.
As the Executive Assistant, your responsibilities include:
Executive Support: Manage the Executive Director's calendar, schedule appointments, and arrange meetings. Coordinate and prepare materials for meetings, conferences, and events. Assist in drafting and editing correspondence, reports, and presentations. Handle phone calls, emails, and inquiries, ensuring prompt and professional responses.
Board of Directors Support: Assist in organizing board and committee meetings, including scheduling, agenda preparation, and logistical arrangements. Prepare and distribute meeting materials, presentations, and reports promptly. Record and distribute accurate minutes of board and committee meetings. Liaise between the Executive Director and the board, ensuring effective communication.
Administrative Tasks: Maintain organized and up-to-date electronic and physical files and records. Process expense reports and manage travel arrangements for the Executive Director. Handle confidential and sensitive information with the utmost discretion and professionalism. Manage incoming and outgoing correspondence and mail, including routing to appropriate staff for action. Assist with AAC fulfillment as requested by the ED.
Communication: Collaborate with various teams to gather information and data required for reports and presentations. Support internal and external communication by drafting, proofreading, and editing content.
Project Coordination: Assist in coordinating special projects and initiatives as directed by the Executive Director. Track project timelines, milestones, and deliverables to ensure deadlines are met. Conduct research and gather data to support decision-making and project implementation.
Relationship Building: Build positive relationships with AAC staff, board members, donors, partners, and other stakeholders. Represent the Executive Director and the organization professionally and courteously.
Qualifications:
Proven experience as an executive assistant or similar role, preferably supporting senior management or executives.
Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.
Strong written and verbal communication skills, including proofreading and editing.
Are able to communicate effectively among a diversity of lived experiences and identities.
Proficiency in using office software and tools, including Google and Microsoft Office Suite and calendar management applications.
High level of discretion and integrity in handling confidential information.
Strong attention to detail and accuracy.
Ability to work independently, take initiative, and solve problems.
Knowledge or interest in outdoor and climbing activities is a plus.
Environment
90% Desk work – Typical office work on a computer utilizing GSuites, Slack, Zoom, and other computer-based programs.
10% Physical work – This position could require some physical work, including assisting with receiving and distributing inventory, setting up and breaking down events, etc. Travel may be required ~5%.
